Confidential Adviser Support

What is the Confidential Adviser Feature?

A privacy-first wellbeing support system that allows designated team members to offer confidential help to colleagues experiencing burnout or stress. The system uses smart triggers, maintains full anonymity until accepted, and integrates with Slack and Microsoft Teams.

Setting Up Confidential Advisers

  1. Navigate to Settings → Organization → User Management
  2. Find the user you want to designate as an adviser (any role: admin, manager, or member)
  3. Click the heart icon (💜) next to their role to toggle adviser status
  4. The user immediately becomes a confidential adviser and sees a purple badge on their dashboard

How It Works

Smart Detection: System automatically detects burnout (1 check-in) or stress (2-3 consecutive check-ins)

Anonymous Request: A support request is created with the user's identity protected

Adviser Notified: All designated advisers see the anonymous request in their dashboard

Support Offered: An adviser clicks "Offer Support" on the request

User Notified: Team member receives notification via app, email, Slack, and Teams

Identity Revealed: If accepted, user's identity is revealed only to that specific adviser

Privacy & Security

  • Anonymous by Default: User identity remains hidden until they explicitly accept support
  • Selective Identity Reveal: Only the specific adviser who offers help can see the user's name
  • Organization Privacy Settings: Automatically respects your organization's health data anonymization settings
  • 7-Day Cooldown: Prevents notification fatigue with automatic cooldown between alerts

Multi-Channel Notifications

When an adviser offers support, users are notified through multiple channels:

📱In-App: Dashboard card with accept/decline buttons
📧Email: Branded notification with response link
💬Slack: Direct message with "View in PulseBoard" button
💼Teams: Adaptive card with privacy notice

For Advisers

  • See a "Confidential Support Requests" card on your dashboard
  • View pending anonymous requests with mood badges (burnout/stressed)
  • Click "Offer Support" to reach out to a team member in need
  • Receive notification when a user accepts your offer
  • Schedule confidential one-on-one meetings to provide support

Best Practices

  • Designate 2-3 trusted advisers per organization
  • Choose advisers from different teams/departments for diversity
  • Ensure advisers have training in empathetic listening and mental health awareness
  • Respond to support requests within 24 hours when possible
  • Maintain strict confidentiality - never discuss cases with others
